Purpose and Scope

The Human Resources Administrator provides administrative and coordination support to the Human Resources department, ensuring the accurate processing, tracking, and maintenance of employee records, training documentation, and HR transactions. This role supports high‑volume hiring activity and ongoing workforce administration by maintaining compliance, accuracy, and confidentiality across HR processes.

Organization Relationship

The Human Resources Administrator reports to the Human Resources Manager and works closely with HR team members, departmental supervisors, payroll, and union representatives. This position does not involve direct supervisory responsibility.

Working Conditions

  • Office-based role with regular use of computers, printers, scanners, and laminating equipment
  • Frequent handling of confidential employee information
  • Periods of increased workload during hiring surges, onboarding cycles, and review periods
  • Routine use of HRIS, scheduling, and tracking systems (including Dayforce)

Responsibilites

  • Scan, file, and maintain employee documentation, including new hire packages, completed disciplinary records, and training files
  • Add scanned documents accurately to employee files and ensure records are current and complete
  • Print training files and maintain organized hard-copy records where required
  • Update and maintain training file trackers, forklift and hoist certification trackers, and performance review trackers
  • Prepare and assemble probation completion packages, supporting a high-volume onboarding environment
  • Scan and distribute union enrollment forms as required
  • Process payroll discrepancy forms and assist with related documentation
  • Administer employee boot and eyeglass claims in accordance with company programs
  • Print and laminate forklift and hoist licenses
  • Maintain tool assignment documentation
  • Schedule interviews for selected candidates and support recruitment coordination
  • Update employee schedule rotations and load overtime schedules in Dayforce
  • Perform routine shredding of confidential or time-expired documents
  • Provide general administrative support to the HR department as required

Education and Training

  • Post-secondary education or certification in Human Resources, Office Administration, or a related field preferred
  • Prior experience in an HR or administrative support role is an asset
  • Working knowledge of HR record-keeping, confidentiality requirements, and document management
  • Experience using HRIS platforms (e.g., Dayforce), spreadsheets, and trackers preferred
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment

Pay: $25.48 per hour
