Job Summary: We are seeking a dynamic and organized individual to fill the role of Phone Receptionist and Executive Assistant. The ideal candidate will be the first point of contact for all incoming phone calls, ensuring callers are greeted professionally and directed to the appropriate personnel. In addition to managing phone calls, this role will also provide high-level administrative support to the President of the Company, assisting in various tasks to ensure the smooth operation of the executive office.

Key Responsibilities:

Phone Reception:

  • Answer all incoming calls promptly and professionally, providing a welcoming and courteous experience to callers.
  • Determine the purpose of calls and direct them to the relevant departments or individuals within the organization.
  • Maintain a detailed and up-to-date directory of company contacts and extensions.
  • Manage voicemail system and forward messages to the appropriate recipients.
  • Provide accurate information to callers regarding company services, hours of operation, and other relevant inquiries.

Executive Assistance:

  • Act as a trusted assistant to the President of the Company, providing administrative support to enhance efficiency and productivity.
  • Coordinate and manage the President's calendar, scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, presentations, reports, and other documents as requested by the President.
  • Conduct research and gather information to assist the President in decision-making and preparation for meetings.
  • Assist in organizing and coordinating company events, board meetings, and executive team gatherings.
  • Handle sensitive and confidential information with discretion and professionalism.

Qualifications and Skills:

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Proven experience in a receptionist or administrative assistant role.
  • Excellent verbal and written communication skills.
  • Professional and courteous telephone etiquette.
  • Strong organizational skills with the ability to multitask and prioritize.
  • Proficiency in using office software, including Microsoft Office Suite.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with integrity.
  • Positive attitude, strong work ethic, and ability to work well under pressure.
  • Flexibility to adapt to changing priorities and responsibilities.
