Position Summary: We are seeking an experienced and highly organized Office Manager to join our team. The Office Admin/ HR Admin will play a crucial role in overseeing invoicing, and HR functions of our organization. This position requires a detail-oriented individual with strong leadership skills, financial acumen, and HR knowledge to ensure the smooth operation of these essential business functions.
Full time in office in Kingston. 8-4pm.
Key Responsibilities:
- Invoicing:
- Ensure customer invoices are generated accurately and promptly.
- Coordinate with sales and project management teams to resolve invoicing discrepancies.
- Manage collections and follow up on outstanding invoices.
- Maintain an organized record of invoices and payments.
- HR Administration:
- Oversee HR functions, including recruitment, onboarding, performance management, and employee relations.
- Maintain personnel records and ensure compliance with labor laws and regulations.
- Assist in developing and implementing HR policies and procedures.
- Coordinate training and development initiatives for employees.
- General Administrative/EA Duties:
- Manage office supplies, equipment, and vendor relationships.
- Handle general administrative tasks, such as scheduling meetings, maintaining office cleanliness, and answering phones.
- Ensure customer service standards are maintained.
- Support executive management with special projects and tasks as needed.
- Executive calendar management and email inbox management
Job Type: Full-time
Pay: $60,000.00-$70,000.00 per year
Ability to commute/relocate:
- Kingston, ON K7K 7H2: reliably commute or plan to relocate before starting work (required)
Experience:
- EA: 2 years (preferred)
