Job description

About: We are a leading manufacturer and supplier of high-quality interior and exterior doors, serving customers across Canada. Position Summary: We are seeking an experienced and highly organized Office Manager to join our team. The Office Admin/ HR Admin will play a crucial role in overseeing invoicing, and HR functions of our organization. This position requires a detail-oriented individual with strong leadership skills, financial acumen, and HR knowledge to ensure the smooth operation of these essential business functions.

Full time in office in Kingston. 8-4pm.

Key Responsibilities:

  • Invoicing:
  • Ensure customer invoices are generated accurately and promptly.
  • Coordinate with sales and project management teams to resolve invoicing discrepancies.
  • Manage collections and follow up on outstanding invoices.
  • Maintain an organized record of invoices and payments.
  • HR Administration:
  • Oversee HR functions, including recruitment, onboarding, performance management, and employee relations.
  • Maintain personnel records and ensure compliance with labor laws and regulations.
  • Assist in developing and implementing HR policies and procedures.
  • Coordinate training and development initiatives for employees.
  • General Administrative/EA Duties:
  • Manage office supplies, equipment, and vendor relationships.
  • Handle general administrative tasks, such as scheduling meetings, maintaining office cleanliness, and answering phones.
  • Ensure customer service standards are maintained.
  • Support executive management with special projects and tasks as needed.
  • Executive calendar management and email inbox management

Job Type: Full-time

Pay: $60,000.00-$70,000.00 per year

Ability to commute/relocate:

  • Kingston, ON K7K 7H2: reliably commute or plan to relocate before starting work (required)

Experience:

  • EA: 2 years (preferred)
  • office admin: 2 years (required)
  • human resources: 2 years (required)
