POSITION: Enrollment Clerk

LOCATION: Kingston District Office, 737 Arlington Park Place, Kingston ON, K7M 8M8

HOURS OF WORK:

· Full-Time On Site; Indoor and Outdoor working conditions that may apply

· Weekdays and occasional weekends for Job fairs

· Some travel within the Region and travel to District sites regularly

RATE OF PAY: $34,000 to $36,000

JOB SUMMARY: As a member of the Human Resources Department, the Enrollment clerk provides support to the Director of Human Resources and department by maintaining and developing the organization’s recruitment strategy and employee life cycle, while supporting the Company with hiring, onboarding, recruitment and retention processes, internal job selection.

This position is not conducive to working from home or away from the office for long periods of time.

EXPERIENCE:

· Knowledge of recruitment and selection processes or relevant experience

· Customer service experience

· Knowledge of ESA requirements

· Office and computer experience

· Knowledge of job boards

REQUIRED SKILLS:

· Must be able to obtain and maintain a reliability security clearance within 90 days of being hired.

· Must possess superior oral and written communication skills.

· Must possess excellent time management, and interpersonal skills.

· Must have excellent problem solving and organizational skills.

· must have excellent team building skills.

· must have strong computer skills/experience (Office, Word, Outlook, apps, job boards)

· Knowledge of current and related HR legislation with ability to interpret and implement Company Policies and Procedures.

QUALIFICATIONS:

· G license

· Able to obtain a reliability clearance.

Would be considered an asset: post secondary diploma/degree/certificate in Human Resources or equivalent experience.

RESPONSIBILITIES:

1. Answer general inquiries from applicants, districts and employees regarding HR and Operations functions, company policies, enrollment, training, and job postings.

2. Monitor applicant training (CGSB & COT), ensuring all required training is completed at enrollment

3. Accept, vet, and maintain employment applications and resumes from all recruitment sources while maintaining a dialogue of viable applicants with the relevant Manager.

4. Assign Corps # and create initial Apogee & CHRIS records. Ensure digital copies of all personal documents are added to CHRIS and digital personnel file prior to the first pay period and create physical personnel file back-up copy during enrollment

5. Ensure company Terms & Conditions, Employment Standards Act and Employment Equity information is properly collected and entered in CHRIS and added to the personnel file at enrollment.

6. Maintain accurate and complete recruiting database, files, and records, and update as necessary. Work with discretion regarding sensitive and confidential information.

7. Manage E-learning administration including CSOC course loading, issuing joining instructions, monitoring student progress, troubleshooting online issues, and pre-registration with SERCO.

8. Create and publish job postings to all recruiting platforms and distribute internal job postings to the appropriate District Manager/Supervisor, Site Supervisors and Collective Bargaining Unit representatives as required.

9. Maintain and develop the organization’s recruitment and retention strategies.

10. Responsible for the upkeep and maintenance of all recruiting platforms, primarily the Commissionaires National website, and the Indeed website.

11. Collect and copy personal documents from applicants and employees, ensuring safe storage and maintenance on digital and/or physical personnel files.

12. Ensure all applicants and staff complete any required security clearance processing.

13. Provide login assistance for website & CHRIS access to all new and existing employees.

14. Lead and manage employee recruitment, selection, and enrollment through the development of interview questions, job descriptions and other assessment tools.

15. Prepare formatted enrollment correspondence including emails, flyers, and associated hand-outs ensuring all information included is current and accurate.

16. Attend and organize Job fairs and recruiting events.

17. Provide Directors with monthly, quarterly, and yearly analysis of existing recruitment, enrollment, and retention (including metrics). Remain current with industry forecasted trends and publications and conduct additional industry specific research and analysis as required.

18. Collect and distribute incoming mail and post outgoing mail.

19. Perform any additional duties as they arise or are assigned by the Directors.

NOTES:

All security work is 24/7 up to 40 hours per week and overtime is possible.
